Introduction

This privacy policy explains how we use any personal information we collect about you.

Who are we?

Ethicore is an impact agency delivering insight, engagement and partnership on social and environmental issues. We engage organisations with the insights, stakeholders and partners needed to have a real impact.

How do we collect information from you?

We collect information about you when you contact us with a request or engage us in a business project and when you voluntarily participate in surveys or research.  

We will only use the information you have given us to contact you to respond to a request from you, or in the process of carrying out a contracted business project, or if you have consented to participate in a research project.

Once we receive your information, we make our best effort to ensure its security on our systems. 

What information do we collect about you?

The personal information we collect might include your name, your organisation, your role, email address, phone or skype details.

How will we use the information about you?

We will only use your information to:

  • Respond to a request from you.
  • Carry out obligations arising from any contract entered into by you and us.
  • Send you communications you have requested and may be of interest to you.
  • Contact you as part of a research project you have consented to.
  • Analyse your research responses as part of the voluntary research.

We review our retention periods for personal information on a regular basis.  We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.

Who has access to your information?

We will not sell or share your information with third parties beyond Ethicore for marketing or other purposes unless you have requested us to do so.

Third party data processors

Our associates may have access to your information in order to complete tasks relating to a contract between you and Ethicore, completing research tasks relating to a voluntary research project, or processing data captured via the contact box on our website.  When you complete a survey with us, we use an external platform to capture responses. In these cases, we have a contract in place that requires them to keep your information secure and not to use it for their own purposes.

Research

If you have consented to participate in a research project, we will collect your views on the research topic via an interview or survey.

We will also hold personal information including: your name, title, organisation, email address, phone or skype details for contact purposes during the research project.

We will only contact you for interview if you have consented to participate and only record information relevant to the interview.

We will delete your interview transcript and contact data, once all follow up from the project has been completed [after 6 months – 1 year].

You have the right to request a copy of the interview and your personal data.  If you would like a copy please email Ethicore Ltd.

If you no longer want to participate in the research, you can let us know at any time during the process, by emailing Ethicore Ltd.

Marketing

You have a choice about whether or not you want to receive information from us.  

We will not contact you for marketing purposes unless you have given your prior consent.

If you no longer want to receive communication from us, you can let us know by emailing Ethicore Ltd.

You have a right at any time to stop us from contacting you.  If you no longer want to be contacted for marketing purpose, please unsubscribe here.

Accessing and updating your information

You have the right to request a copy of the information we hold about you.  You can request the data in different formats for your own use and reuse with other service providers. If you would like a copy of some or all of your personal information, please email admin@ethicore.net.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

You can also request us to permanently remove some, or all, of the information that we hold about you.  If you would like us to remove your records, please email us Ethicore Ltd.

Use of ‘cookies’

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website. You can set your browser not to accept cookies.

Transferring your information outside of Europe

The information which you provide us with may be transferred to countries outside the European Economic Area (EEA). By way of example, our cloud storage providers host servers in the US, or, if you complete a survey with us, the servers for the survey platform are currently located in countries outside of the EEA. If we transfer your information outside the EEA, we will take steps to ensure that the country also ensures an adequate level of protection and your privacy rights continue to be protected as outlined in this policy.

Ethicore collects personal information when you contact us. We will use this information to respond to your request, and, if you agree, to send you marketing information.  We will not share your information with companies outside Ethicore.
